Program Activity Manager
About the position
Job title: Program Activity Manager
Post location: Deir El Balah
Starting date: ASAP
Contract duration: 4 months renewable according to fundings
MISSION / OBJECTIVES
The Program Activity Manager will coordinate the activities and operational needs of WASH, FSL and Community Mobilization teams , ensuring that Solidarités International technical standards and procedures are followed. They support their line manager in overall management of SI activities across all sites.
List of main tasks:
Relevance, quality and design of project activities
- Support line manager to select appropriate methodologies for project activities and technical solutions according to needs
- Identify resources needed to implement activities, including forecasted financial, logistics, capacity building and staff needs
- Ensure that project activities are implemented in accordance with Solidarités International technical standards, humanitarian norms and standards as well as donor requirements
- Ensure that activities fulfill project indicators and are sustainable
Setting up the activities /control and supervision
- Plan the weekly activities for program teams in coordination with line manager:
- Plan human resource needs (daily workers, community workers)
- Plan tool and material needs (request from stock)
- Anticipate administrative issues (requests in advance)
- Anticipate logistics issues (transport, communications)
- Organize and implement tasks assigned by line manager
- Coordinate with MEAL team to ensure that they are able to schedule their activities appropriately
- Work with line manager on development of remote SOPs and contingency planning for all activities. Support training for program teams to ensure that SOPs are fit for purpose and well understood
- Work with line manager to coordinate program responses to complaints from the CRM in a timely manner
- Conduct regular program monitoring field visits to ensure that standards and instructions given by line manager, as well as Solidarités procedures, are followed
- Ensure that all activity trackers are updated regularly and are accurate, flagging missing data to the staff who are responsible for them
- Respect schedules and deadlines agreed upon with line manager
- Report any problems and constraints encountered by the teams in the field and suggest operational solutions
Logistics and Administration
- Oversee recruitment of community and daily workers, following SI procedures and policies
- Coordinate trainings for program teams on logistics and administrative trackers and documents
- Ensure that safety procedures are followed by program teams
- Coordinate with logistics to follow up on the receipt and storage of material and equipment necessary for program teams to conduct their work as planned
Reporting / communication
- Represent the program teams in internal meetings and external meetings (e.g. Clusters) as needed
- Coordinate with the IM Officer to put in place data management systems that are fit for purpose and adapted for field use.
- Support line manager in ensuring that program documents are updated in the monthly program pack
- Establish and maintain good relationships with community representatives, community focal points, local authorities, other humanitarian actors, and private suppliers contracted by SI
- Report to line manager any non-technical or safety-related issues which could affect the activities or safety of Solidarités International
QUALIFICATIONS
Studies:
Engineer or equivalent in water, sanitation or related field (hydraulic, water treatment, hydrogeology etc).
Experience:
2 years of experience in a management position.
Languages:
Professional level of listening, writing and speaking in Arabic and English.
Skills:
- Demonstrated track record of team management, external representation, and maintaining relationships with community and stakeholders;- Ability to work under pressure, identify risks to implementation, and recommend mitigation measures;
- Willingness to operate flexibly, supporting teams in the field and problem-solving issues that arise ;
- Experience capacity building team members on tools, SOPs, and other areas that are identified as gaps in knowledge/ability;
- Good command of Excel, Wor d, AutoCAD, etc.
