General Description
The Secretary is responsible for administrative tasks within the office on a daily basis.  The secretary reports to the Office Manager and is responsible for providing secretarial services for the PCRF. 

Office Responsibilities 
-Answer telephones and give information to callers, take messages, or transfer calls -to appropriate individuals;
-Arrange conferences and meetings for staff, as per request;
-Compose, type, and distribute meeting minutes jobs.ps and notes, routine correspondence, and reports, as per request;
Greet visitors and callers to the office, handle their inquiries, and direct them to the appropriate persons according to their needs in a professional and polite manner;
-Make copies of correspondence and other printed material, as per request;
-Maintain paper and electronic filing systems for records, correspondence, and other material based on office and HR procedures;
-Conduct searches to find needed information, using such sources as the Internet, as per request;
-Learn to operate new office technologies as they are developed and implemented;
-Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications;
-Other tasks as needed as instructed jobs.ps by management;
-Keep accurate and clear records using forms and system for all logistical and accommodations for patients, staff and volunteers;
-Maintain office equipment and utilities, and report any damage or lost/stolen property to management;
-Anticipate, maintain and replenish inventory of office supplies;
-Responsible for keeping the petty cash in the main office secure and accounted for, as per accounting procedures;


Logistics

-Arrange logistics for medical missions to Palestine
-Arrange accommodations for medical missions to Palestine
-Arrange the logistics for the cases traveling abroad


PROFESSIONAL QUALITIES
-Minimum Skill Requirements 
-Minimum total 2 years secretary experience
-Fluency in using Google Apps & and other PCRF Platforms
-Ability to quickly learn and adapt to new systems
-2 years secretary degree

Communication
-Arabic / good English oral and written
-Clearly articulate ideas and thoughts verbally and in writing
-Accurately prepares written correspondence that is coherent, grammatically correct, -effective and professional across languages
-Listens to others and accepts input from team members
-Presents to volunteers, staff and donors professionally

Teamwork 

-Establishes harmonious working relationships with team members.
-Shows initiative in interacting with and collaborating with team members on projects and organization’s activities
-Use every opportunity to learn from team members
